Welcome to UnityVows β€” your all-in-one wedding planning platform.

What is UnityVows?

UnityVows is a professional wedding management platform for event planners, planning firms, and couples who plan their own wedding β€” worldwide.

Whether you're a boutique agency or a couple running your own celebration, UnityVows supports single-day and multi-day weddings: multiple events (rehearsal, ceremony, reception), family sides (Partner 1/2, or Bride/Groom for traditional weddings), meal preferences (Vegetarian, Vegan, Jain, Non-Vegetarian), 19+ languages, and multi-currency budgets (INR, USD, GBP, EUR, and more).

UnityVows works on any modern web browser on desktop, tablet, or mobile. No app download is required for planners.

Sign-up & Roles

UnityVows is a team tool β€” different people log in with different levels of access. You never have to share a single password.

  1. 1Planner / Owner: The first person who signs up for UnityVows becomes the account owner. They choose a plan, create the first wedding, and invite everyone else from Settings β†’ Staff Management.
  2. 2Planners: Planners are invited by the owner. They receive an email with a secure link to create their own password and log in to the planner dashboard.
  3. 3Staff / Coordinators: Staff are also invited from Settings β†’ Staff Management. The owner can set permissions (Financials, Vendors, Contracts) right in the invite modal. Staff see only the modules and weddings they have been granted access to.
  4. 4Vendors: Vendors never sign up directly. When you add a vendor and enable portal access, UnityVows emails them a link to the Vendor Portal so they can view their invoices, tasks, and messages.
  5. 5Couples planning their own wedding: Register at /register β€” you become the planner owner for your account (same signup as a professional firm). You get the full planner workspace for your wedding: guests, RSVP, website, seating, vendors, budget, and day-of tools. Invite family as collaborators if you want help without sharing billing access.
  6. 6Couples / families (invited): If a professional planner runs your wedding, they usually share the guest website and RSVP links. You can also be invited as a collaborator with wedding-scoped dashboard access when the planner wants you to co-edit guests, tasks, or the website.

If you are the planner/owner, always invite colleagues and vendors using their own email addresses. This keeps audit trails clear and lets you remove access instantly if someone leaves the team.

Planning your own wedding (couples)

You do not need to hire a wedding planner to use UnityVows. Many couples register as the account owner and run their own wedding end to end.

  1. 1Go to /register and create your account (email + password, organization name can be your names or "Our Wedding").
  2. 2Choose Pay Per Wedding or Subscription β€” couples often start with a single Pay Per Wedding credit.
  3. 3Create your wedding, publish RSVP Builder, then build your guest list and wedding website.
  4. 4Optional: invite parents or friends from the wedding’s Collaborators page β€” they see only that wedding, not your subscription or other events.

Client intake links are mainly for planners onboarding new clients. As a couple planning your own wedding, skip intake and create the wedding directly from the dashboard.

How to sign up (planner owner account)

To create a new planner-owner account (professional firm or couple planning your own wedding), use the registration flow. From the login page, click "Sign up" or "Register", or go directly to the /register page.

  1. 1Step 1 β€” Account: Enter your email address and a password (at least 8 characters; a mix of letters, numbers and symbols is recommended).
  2. 2Step 2 β€” Business: Enter your organization or business name, your first and last name, and optionally your phone number.
  3. 3Step 3 β€” Plan: Choose your pricing model (Pay per wedding or Subscription) and, if asked, how many weddings you plan per month.
  4. 4Step 4 β€” First wedding (optional): You can enter the first wedding's couple names and date now, or skip and create a wedding later from the dashboard.
  5. 5Click "Create account" or finish the form. You will be logged in and taken to the dashboard.

After sign-up you can create or manage weddings and invite staff from Settings β†’ Staff.

Your First Wedding

When you log in for the first time, you will land on the Weddings list. Click "Create Wedding" to begin.

  1. 1Enter partner names β€” labels adapt to couple type (e.g. Partner 1 & 2, or Bride & Groom for traditional weddings) β€” and the wedding date.
  2. 2Choose the primary currency (e.g. INR, USD, GBP) and the wedding type (e.g. Religious, Civil, Destination, Other).
  3. 3Add the venue name and city. You can fill in the full address later.
  4. 4Click "Create" β€” your wedding workspace is ready instantly.
  5. 5You will be taken to the Wedding Dashboard where you can start adding guests, vendors, and tasks.

You can manage multiple weddings from the same account. Use the wedding switcher in the top navigation to jump between them.

Importing your first wedding from a spreadsheet

If you already have your first wedding's details in a spreadsheet, you can import them instead of typing them in by hand. This is available from the registration wizard's "Import from spreadsheet" option (Planner and Agency signups) and from the equivalent option in the mobile app.

  1. 1Upload a .csv file. A header row is required β€” the first row must contain column names, not wedding data.
  2. 2Only the first data row (the second row of the file) is imported. If your spreadsheet has more than one wedding, only the first one will be used.
  3. 3Review the mapped fields in the preview before confirming β€” you can still edit any field manually after import.

Column headers are matched case-insensitively, and a few common variants are recognised for each field:

  • Partner 1 name β€” accepted headers: "Partner 1 Name", "Bride Name", "Partner1", "Bride"
  • Partner 2 name β€” accepted headers: "Partner 2 Name", "Groom Name", "Partner2", "Groom"
  • Wedding date β€” accepted headers: "Wedding Date", "Date", "Event Date" (common date formats are accepted)
  • Tradition β€” accepted header: "Tradition", one of HINDU, MUSLIM, CHRISTIAN, SIKH, JAIN, MIXED, or NONE (case-insensitive). Leave this column blank if undecided.

This is the exact same CSV format used by both the web registration wizard's "Import from spreadsheet" option and the mobile app's equivalent β€” a file that works in one works in the other.

Dashboard Overview

The Wedding Dashboard is your command centre. It shows a live summary of every module:

  • Guest count β€” total, confirmed, pending, declined
  • Task progress β€” how many tasks are done vs remaining
  • Budget snapshot β€” estimated vs actual spend
  • Days until wedding β€” countdown prominently displayed
  • Recent activity β€” latest RSVPs, vendor updates, and messages
  • Privacy β€” as Planner Owner, revenue, budget amounts, wedding list budgets, and credit balance stay masked until you click each value (session-only). Staff without financial permission see redacted amounts; they never get click-to-reveal.

Use the left sidebar to navigate to any module. The sidebar is always visible on desktop and accessible via the ☰ menu button on mobile.

90-Minute First Setup Checklist

New to UnityVows? Follow this checklist to go from zero to a live wedding in under 90 minutes.

  1. 1(10 min) Create your wedding β€” names, date, venue, currency.
  2. 2(15 min) Build and publish your RSVP form in RSVP Builder β€” a minimal β€œsoft RSVP” (intent only) is enough to unlock adding and importing guests.
  3. 3(20 min) Import or add your guest list β€” CSV import for an existing list, or add guests manually; assign ceremony invitations per guest as needed.
  4. 4(10 min) Design an e-card β€” pick a font and palette in the Invitations module.
  5. 5(10 min) Build your wedding website β€” fill in venue details and publish it.
  6. 6(10 min) Send your first WhatsApp blast β€” invite guests with a link to your website and RSVP form.

Don't try to do everything in one session. After setup, come back to Seating once RSVPs are in, and Smart Tools whenever you need ideas or bulk actions.

Guests and vendors do not use the planner dashboard. Guests use the wedding website and RSVP link; vendors use the Vendor Portal. Planner Owner and Staff use the main app with different access levels.

Planner Owner

The account owner. They sign up, choose the plan, create weddings, and invite everyone else. Full access to every module.

Start-to-finish workflow

  1. 1Create your first wedding (Dashboard β†’ New Wedding): names, date, venue, currency.
  2. 2Import or add guests (Guests β†’ Import CSV or + Add Guest). Use categories and tags.
  3. 3Build the RSVP form (RSVP Builder): add questions, set audience targeting, enable conditional logic.
  4. 4Design an e-card and publish the wedding website (Invitations, Website).
  5. 5Add vendors and payment schedules (Vendors). Mark as Confirmed to unlock payments.
  6. 6Create tasks and assign to team (Tasks). Use Timeline for the day-of schedule.

Staff / Coordinator

Invited by the owner. Staff see only the weddings and modules they are granted (typically Guests, Tasks, Timeline, Seating). They cannot change billing, delete weddings, or manage other staff.

Start-to-finish workflow

  1. 1Log in with the link from your invitation email. Set your password if first time.
  2. 2Open the wedding from the dashboard. Check My Tasks (sidebar) for your assigned tasks.
  3. 3Go to Guests to update RSVPs: confirm, decline, or update meal preferences inline.
  4. 4Open Tasks and mark items In Progress or Done. Filter by assignee to see your list.
  5. 5When seating is ready: open Seating, assign unseated guests to tables, then Export CSV for kitchen.
  6. 6Use Timeline to view the day-of schedule and export a PDF to share with vendors.

Daily as staff:

Collaborator (couple / family)

Collaborators are invited per wedding from Wedding β†’ Collaborators. They sign in with their own account and see the planner navigation for weddings they are assigned toβ€”ideal for the couple, parents, or a trusted helper. They are not staff on your organisation roster and do not manage billing or cross-wedding analytics.

  • View and help manage guests, tasks, seating, timeline, and wedding website for assigned weddings
  • See vendor and budget information when the planner’s permissions and wedding access allow it
  • No access to organisation subscription, credits purchase page, or multi-wedding revenue analytics
  • Planner Owner click-to-reveal privacy masking applies only to the owner’s loginβ€”not to collaborators
  • Use Settings for their own profile; wedding data is governed by planner permissions

Start-to-finish workflow

  1. 1Receive an email invite or accept an invitation from the planner for a specific wedding.
  2. 2Sign in and open Weddings to see only the weddings where you are a collaborator.
  3. 3Open a wedding from the listβ€”use Guests, Tasks, Seating, Vendors, Budget, etc., as permitted.
  4. 4Coordinate with the planner: you work in the same workspace without sharing one login.

As a collaborator:

  • βœ“Ask the planner if you need access to financial or vendor details
  • βœ“Use the Help and Manual links if you are unsure what your role can open

Vendor

Vendors do not log in to the main planner app. They use the Vendor Portal (separate link) to view their invoices, tasks, and messages. Access is given when the planner adds them and enables portal access.

Key capabilities

  • View and download invoices; submit new invoices if enabled
  • View tasks assigned to them (read-only; planner updates status)
  • View and reply to messages from the planner
  • View contract and document links shared by the planner

Start-to-finish workflow

  1. 1Use the Vendor Portal link sent by the planner (e.g. /vendor). Log in with the email they added.
  2. 2Set your password on first login if prompted.
  3. 3Open Invoices to see due and paid items; download PDFs or submit new invoices as per the planner’s instructions.
  4. 4Open Tasks to see what the planner has assigned to you (e.g. "Send final quote", "Confirm delivery time").
  5. 5Use Messages to reply to the planner. You cannot access the main guest list or wedding dashboard.

Weekly as vendor:

  • βœ“Log in to the Vendor Portal and check for new messages
  • βœ“Review Tasks and complete any requested actions (communicate with planner)
  • βœ“Submit invoices or update status as agreed with the planner

Guest / Family

Guests use the UnityVows guest hub β€” a personalised website reachable via QR code on the physical invitation, a magic link sent by WhatsApp or email, or a phone/email lookup. No app install required. After confirming their RSVP, guests can: book transport, submit concierge requests, view and upload photos, see their seat assignment, and submit post-event feedback.

  • Open the guest hub via QR code, magic link, or the RSVP lookup page
  • Confirm attendance, add plus-ones, and answer custom questions (meals, transport, dietary needs)
  • View schedule, venue details, directions, and accommodation options
  • Book a transport seat from available pickup options

Start-to-finish workflow

  1. 1Scan the QR code on the physical invitation (goes to /rsvp/CODE) or click the magic link in your WhatsApp/email to land directly on your personalised hub.
  2. 2If arriving at the lookup page, enter your phone number or email to find your invitation.
  3. 3Complete the RSVP: confirm attendance, add a plus-one, choose meal preference, and answer any custom questions.
  4. 4Explore the hub: check the schedule, book transport, request concierge help, view the gallery, or see your seat assignment.
  5. 5Return to the same link at any time to update your RSVP or check for new information before the wedding day.

As a guest:

  • βœ“Respond to the RSVP before the deadline (use the link from your invitation)
  • βœ“Book a transport seat if the couple has enabled transport pickup options
  • βœ“Upload a photo to the shared gallery after the celebration

Events & Occasions

A wedding in UnityVows is made up of one or more occasions β€” individual ceremonies such as Haldi, Mehendi, Sangeet, Baraat, Wedding Ceremony, and Reception. Each occasion is managed independently with its own name, date, venue, and seating floor plan.

When to use this

Set up your occasions as soon as you know the ceremony schedule. Seating plans, the guest schedule, and rituals all reference occasions, so having them in place early keeps everything consistent.

Adding Occasions

Add occasions from the Events tab inside any wedding.

  3. 3Enter the occasion name (e.g. "Sangeet", "Reception").
  4. 4Set the date and time for the occasion.
  5. 5Enter the venue name and address β€” these appear in the guest-facing schedule.
  6. 6Click Save. The occasion is immediately available for seating plans and rituals.

Drag the occasions to reorder them. The sort order controls how they appear in the guest-facing event schedule.

Venues per Occasion

Each occasion stores a venue name (e.g. "The Grand Ballroom, Taj Hotel") and a full address. Both are shown in the guest-facing schedule and on the wedding website itinerary.

The wedding website has a separate primary venue field under Website β†’ Details. This is the headline venue shown at the top of the website. Occasion venues appear in the itinerary section below.

Client Venue Selection

Once you've shortlisted venues, share them with the couple through the client portal β€” they can browse, compare, and mark a preference without needing planner access. Their choice appears back on your Venues page so you can confirm the booking.

Seating Plans per Occasion

Seating floor plans are scoped to a specific occasion. When you create a floor plan you choose which occasion it belongs to, so each ceremony can have its own completely independent layout.

ℹ️

A single wedding with five ceremonies can have five different floor plans β€” one per venue. Guest seat assignments in one floor plan are independent of other occasions.

Rituals & Ceremonies

Rituals (Pooja, Mehndi application, Jaimala, Saat Phere, etc.) can each be scheduled with a date, start time, and venue. They appear in the Rituals module and are linked to the relevant occasion.

Guest Schedule

The guest-facing app shows a Schedule tab listing all occasions with their date, time, venue name, and address. Guests tap any occasion to see its details.

Calendar View

The Calendar View provides a visual month/week/day overview of all your occasions, helping you spot scheduling conflicts and gaps at a glance.

Colour-coded events match the labels you assigned to each occasion, making it easy to distinguish ceremonies from receptions at a glance.

Guest Management

The Guests module holds your list with RSVP status, meal preferences, per-ceremony invitations, and more. You must create and publish a form in RSVP Builder before you can add guests or import CSV; the Guests page explains this and links to RSVP Builder until the form is published.

When to use this

Publish RSVP Builder first (even a short β€œsoft RSVP” for early numbers is fine), then build your list. Come back often to track RSVPs, adjust who is invited to which event, update meals, and handle last-minute changes.

Adding Guests

Once your RSVP form is published, add guests in three ways:

  1. 1Click the "+ Add Guest" button in the top-right corner of the Guests page.
  2. 2Type the guest's name, email, and/or mobile number.
  3. 3Select which side they belong to β€” Bride's side, Groom's side, or Mutual.
  4. 4Optionally add tags (e.g. "VIP", "Family") and meal preference.
  5. 5Click "Save". The guest appears instantly in the list.

You can press "+" on your keyboard anywhere on the Guests page to quickly open the add-guest form.

Importing from CSV

After the RSVP form is published, import a list from Excel or Google Sheets in seconds.

  1. 1Click "Import CSV" in the top header of the Guests page.
  2. 2Upload your .csv file. If you don't have one yet, click "Download current guest list" to get a template.
  3. 3Step 2 β€” Column Mapping: Match your spreadsheet columns to UnityVows fields (Name, Email, Phone, Side, RSVP Status, etc.). Unmatched columns are safely ignored.
  4. 4Step 3 β€” Preview: Review the first few rows. If something looks wrong, go back and fix the mapping.
  5. 5Click "Import" β€” all guests are added in one go.
ℹ️

Duplicate guests (same name + email) are detected and you can choose to skip or overwrite them. When adding or editing a guest, pick which events they are invited to so it matches your ceremony list and RSVP flow.

Tags & Colour Labels

Tags let you group and filter guests by category. Each tag is automatically colour-coded using a consistent 9-colour palette (blue, green, teal, violet, red, pink, orange, yellow, grey) β€” the same tag always shows the same colour across your entire guest list.

To add a custom tag, type it directly into the Tags field when editing a guest. You can apply multiple tags to one guest separated by commas.

Use the Tag Filter dropdown above the guest table to instantly filter by any tag.

Household Grouping

Households let you manage a family unit together β€” one RSVP covers all members. This is especially useful for guests who travel together or share accommodation.

  1. 1Switch to "Household" view using the toggle above the guest table.
  2. 2Select guests you want to group (tick the checkboxes on the left).
  3. 3Click "Create Household" and give the group a name (e.g. "Sharma Family").
  4. 4All household members now appear under a single collapsible group.
  5. 5When one member confirms, you can bulk-confirm all household members.

Guest Inbox

The Guest Inbox automatically captures RSVP responses that come in through your wedding website or invitation links. Instead of manually updating each guest, the inbox matches incoming responses to existing records.

  1. 1Click the "Inbox" tab at the top of the Guests page.
  2. 2Each incoming response shows the guest's name, their RSVP answer, and any notes they left.
  3. 3Click "Match & Accept" to link the response to an existing guest record and update their status.
  4. 4Click "Add as New" if the responder is not yet on your list.
  5. 5Click "Ignore" to dismiss spam or duplicate submissions.

Editing Guest Details

UnityVows uses spreadsheet-style inline editing β€” you don't need to open a separate form for every change.

  1. 1Click on any cell in the guest table (name, email, phone, RSVP status, meal preference, etc.).
  2. 2The cell turns into an editable field. Type the new value.
  3. 3Press Enter to save and move to the next row, Tab to move to the next column, or Esc to cancel.
  4. 4Changes are saved automatically β€” no save button needed.

To bulk-update multiple guests at once (e.g. confirm all guests from one side), tick their checkboxes and use the "Bulk Action" dropdown in the header.

Exporting to Google Sheets

There are two export options in the Guests page header:

  • Export CSV β€” a standard CSV file with the basic columns.
  • Google Sheets β€” a comprehensive export with all RSVP question answers included as extra columns, encoded with UTF-8 so names in Hindi, Tamil, or other scripts display correctly.
  1. 1Click "Google Sheets" in the top header.
  2. 2A .csv file will download to your computer.
  3. 3Open Google Sheets β†’ File β†’ Import β†’ Upload β†’ select the downloaded file.
  4. 4Your full RSVP data, including answers to custom questions, will be in the spreadsheet.

Invitations & E-Cards

UnityVows lets you design beautiful digital invitation cards and track exactly who has received, opened, and responded to them.

Creating E-Cards

  1. 1Go to Invitations from the left sidebar and click "Create E-Card".
  2. 2Give your e-card a name (e.g. "Main Wedding Invite" or "Rehearsal Dinner Invite").
  3. 3Choose a font from 10 options (Playfair Display, Corinthia, Sacramento, Poppins and more).
  4. 4Pick a colour palette β€” choose from 8 presets or fine-tune primary, secondary, and accent colours individually.
  5. 5Use the split-panel editor to write your invitation text on the left and see a live preview on the right.
  6. 6Toggle between Desktop, Tablet, and Mobile previews to ensure it looks great on all screens.
  7. 7Click "Save" when you're happy.

Sending Invitations

  1. 1Open an e-card and click "Send Invitations".
  2. 2Choose recipients β€” you can send to all guests, a specific side (Bride/Groom), or a tag group (e.g. "VIP").
  3. 3Select the delivery method: Email, WhatsApp, or shareable link.
  4. 4Click "Send Now" or schedule for a future date and time.

You can send the same e-card multiple times (e.g. an initial invite and then a reminder). Each send is tracked separately in the delivery funnel.

Delivery Tracking Funnel

UnityVows tracks every invitation through 4 stages. The visual funnel at the top of the Invitations page shows this in real time:

Client intake questionnaire

Send prospective clients a secure, expiring link to complete a wedding questionnaire before you create their workspace. Submissions create a draft wedding you can review from the dashboard.

What it is & who controls it

Only planner_owner (and flows exposed to them) generate intake links from **Client Intake** in the sidebar. Each link is tied to a token: the client opens `/intake/<token>` without logging in, fills the form, and submits once.

You can customise the default questionnaire (field labels and structure) per planner. Responses are stored with the token; after submit, the planner is notified and you can open the response detail from the intake dashboard.

From **Client Intake**:

  1. 1Click to generate a link β€” enter the client’s email and optional name, and choose an expiry (defaults apply if you skip this).
  2. 2UnityVows emails an **invite** with the unique URL. You can **resend** while the token is unused and not expired.
  3. 3Copy the link to share manually (WhatsApp, etc.) if you prefer.
  4. 4After submit, the token is consumed β€” the same link cannot be used twice. Cancel or let expiry lapse to retire a link.

Branding in email & on the public form

**Invite** and **confirmation** emails use your Planner record: **brandName** (or organisation name), **brandLogo**, and **brandColors.primary**. The email header is a band in your primary colour with your logo and company name; the invite also shows the **contact person** name (from your planner contact user) on that band.

The public intake page shows the same planner name, logo, and colours so the experience matches your emails. Guest RSVP / couple website and public accommodation pages use the same branding via the guest portal β€” configure everything under **Settings β†’ Branding**. Branding applies across subscription tiers and Pay Per Wedding for these surfaces.

Intake always uses your app-hosted URL with a token path.

Languages & locale

Intake flows and emails follow the same supported workspace languages as the rest of UnityVows (19 locales). Where no language is set, copy defaults to English.

RSVP Builder

Publishing your RSVP form unlocks the guest list. Go beyond a simple Yes/No: use welcome and thank-you copy for a β€œsoft RSVP” round, add custom questions, audience targeting, and analytics β€” then narrow formal invitations using RSVP status and per-guest event assignments.

Creating Questions

Adding Events

Colour Coding

When adding or editing an event, click one of the colour swatches in the form to change its colour. The timeline updates instantly.

Exporting to PDF

Click the Export PDF button in the Timeline header. A properly formatted A4 PDF of the full day's schedule is generated in your browser and downloaded automatically. Share it with vendors, venue staff, and family members who prefer a printed copy.

Seating Planner

Design your venue floor plan and assign every guest to a specific seat using a visual drag-and-drop canvas.

Building the Floor Plan

Driver Portal

The Driver Portal is a mobile-friendly interface for transport drivers working at your wedding events. A native driver app is also available (currently by early access invite β€” TestFlight/Play Internal only, not yet a public app-store download) and covers the same OTP login and trip workflow.

Guests don't need to log in to UnityVows. They access a dedicated, mobile-friendly web app through a shared link β€” no download required.

Language & i18n: The guest app UI (buttons, labels, status messages) is automatically displayed in the guest's browser/device language across all 19 supported locales. Content you write (event descriptions, accommodation notes, custom RSVP questions) appears as-is β€” translate your own text if you want it in another language. The RSVP form supports right-to-left text for Urdu guests.

Guest RSVP Page

Guests visit your-domain/rsvp/[code] and see a clean RSVP form. They can:

  • Accept or decline the invitation.
  • Select their meal preference (Vegetarian, Vegan, Jain, Non-Vegetarian).
  • Indicate if they're bringing a plus-one β€” the plus-one then gets their own independent WhatsApp registration link and guest record, so they can manage their own RSVP and updates separately from the primary guest.
  • Answer any custom questions you've created in the RSVP Builder.
  • Leave dietary notes or special requirements.

If a guest doesn't have their direct link, they can visit the app homepage and look up their invitation by phone number or email.

Guest Hub

Once a guest submits their RSVP, they're shown a link to their Guest Hub β€” a separate, more full-featured web app (also included in their WhatsApp and email RSVP confirmations) where they can sign up for transport, send concierge requests during the event, browse and upload photos, view their e-invitation, check the full event schedule, see accommodation options, and leave feedback after the wedding.

ℹ️

The Guest Hub isn't listed on the App Store or Play Store β€” guests reach it entirely through the link they're given. They can optionally tap "Add to Home Screen" from their mobile browser to pin it like an app; this is purely optional and the hub works the same either way.

Access codes & guest privacy

UnityVows uses short codes and tokens to keep guest flows private while staying easy to share. Think of these like per-guest (or per-household) keys β€” share them intentionally, not publicly.

  • RSVP links use a unique code (e.g. /rsvp/[code]) so each guest can only access their own invitation flow. Avoid posting RSVP links in public groups.
  • If enabled, guests can also look up their invite from the guest app homepage using phone number or email β€” useful when the original link is lost.
  • Meal QR uses QR tokens at stations to mark meals served in real time. Treat printed QR passes like tickets and reprint if they are shared accidentally.
  • If you enable a wedding website passcode/unlock, share it only with intended guests and rotate it if it leaks (especially for public-facing links).

Wedding Details Page

The wedding details page shows guests everything they need to know: couple names, wedding date, venue with a "Get Directions" link that opens Google Maps, and a description of the event. There's also an "Add to Calendar" button that downloads a .ics file compatible with Google Calendar, Apple Calendar, and Outlook.

Event Schedule

The Schedule page shows the day-of itinerary pulled from your Timeline module. Events are displayed in chronological order with start/end times, locations, and category colour badges. Guests can see exactly when to arrive, when ceremonies happen, and when meals are served.

Accommodation

If you've added hotel recommendations in the Accommodation module, they appear on this page for guests. Each hotel shows its name, distance from the venue, price range, a phone number to call, a "Directions" link, and a "Book Now" link if you've added a booking URL.

Vendor Portal

Vendors who are given a UnityVows login can access their own dedicated portal to stay up to date on their bookings, tasks, and payments β€” without accessing the full planner dashboard.

The Vendor Portal β€” vendor logins, vendor-facing invoices, and vendor messaging β€” is available on Professional and Enterprise plans. On Starter, coordinate with vendors via the Comments tab in the Vendors module instead.

Vendor Portal vs. Vendor PWA

There are two separate places a vendor can sign in. Vendors given a full UnityVows login use the embedded Vendor Portal described in this section (Invoices, Tasks, Messages), reached from inside the main app. Separately, there's a standalone Vendor PWA at your-domain/vendor-pwa/ with its own lightweight email/password login, built as a fast, mobile-first, installable web app β€” similar in spirit to the Guest Hub.

It isn't currently documented which vendors should be pointed to which surface β€” treat this as a judgment call per vendor (e.g. a vendor who also needs to see bookings and documents may prefer the full Vendor Portal login, while one who only needs quick invoice/task updates on the go may prefer the lightweight Vendor PWA).

Invoices

The Invoices page shows a complete record of all invoices the vendor has submitted. Each invoice shows the wedding it's associated with, the service type, date submitted, amount, and current status.

The Analytics module gives you a data-driven view of your wedding planning operation β€” across all weddings, all team members, and all vendors.

Credits

Credits are a flexible way to pay for premium features like WhatsApp messages, smart suggestions, and e-card sends without committing to a monthly plan.

  • Each action (e.g. seating optimiser run, WhatsApp message) deducts a set number of credits.
  • Your credit balance is visible in the top navigation bar and on the Billing page.

If you have an active subscription plan, many features that normally cost credits are included at no extra charge.

Viewing Invoices

All past invoices are listed under Billing β†’ Invoice History. Each invoice shows the billing period, amount charged, and a "Download PDF" link for accounting purposes. Invoices are also emailed to the account owner automatically.

Cancelling or Downgrading

To cancel or downgrade your plan, go to Billing β†’ Manage Plan and click "Cancel Subscription" or "Change Plan". Your current plan remains active until the end of the billing period. Data is retained for 90 days after cancellation β€” contact support to request a full data export before cancelling.

ℹ️

Downgrading to a lower plan may restrict access to features used by your team. Features like WhatsApp history, smart suggestions, and vendor portal data remain readable but not editable until you re-upgrade.

Settings

Access Settings from the bottom of the left sidebar or the top-right profile menu.

Profile & Language

Under Profile, update your name, email, and profile photo. Use the Language selector to choose the default language for new weddings. UnityVows supports 19+ languages including English, Hindi, Tamil, Spanish, French, German, Italian, Portuguese, and more.

Media Uploads

Under Media, upload images used across your planner branding. There are four dedicated upload slots:

  • Overview Background β€” used on the wedding overview page (16:9 ratio).
  • Couple Photo β€” the main couple portrait.
  • RSVP Cover β€” shown at the top of the guest-facing RSVP page.
  • Accommodation Cover β€” shown on the accommodation page.

Notifications

Under Notifications, control what emails UnityVows sends you:

  • Weekly Digest β€” a summary of RSVP changes, tasks due, and budget updates sent every Monday.
  • RSVP Alerts β€” instant notification when a guest submits their RSVP.
  • WhatsApp Updates β€” delivery and read receipts via WhatsApp (requires WhatsApp integration).

Workspace Persona

Your workspace adapts to how you use UnityVows. Pick a type in Settings β€” it changes only what is shown, never your data.

  • Couple β€” planning your own wedding: business tools (leads, automations, analytics, client invoicing) are hidden.
  • Independent planner β€” full wedding-ops plus business basics; agency-scale tools stay behind 'Show advanced tools'.

Team & Collaborators

Under Staff, invite team members to collaborate on a wedding. Each team member is assigned a role:

Branding

Branding settings let you customise the look of your wedding documents, invoices, client portal, and client intake journey with your own logo and colours. Intake invite and confirmation emails and the public intake page use brandName, brandLogo, and brandColors.primary from your Planner record (see Client intake β†’ Branding).

Integrations

UnityVows integrates with popular RSVP and event platforms to import guest data automatically.

RSVPify Integration:

  1. 1Go to Settings β†’ Integrations and click "Connect RSVPify".
  2. 2Authorise UnityVows via OAuth β€” you'll be redirected to RSVPify to grant permission.
  3. 3Once connected, guest responses from RSVPify sync automatically into your guest list.
  4. 4View sync history and trigger manual syncs from the integration detail page.

Joy Integration: If your couples use Joy for their wedding website, you can receive guest updates via the Joy webhook. Configure it in Settings β†’ Integrations β†’ Joy.

GDPR & Privacy

UnityVows is fully GDPR-compliant. You can export your data, delete your account, and manage consent preferences at any time.

  • Data Export β€” download all your personal data as a structured file.
  • Account Deletion β€” permanently delete your account and all associated data.
  • Consent Management β€” review and update your data processing, marketing, and third-party sharing consents.

Audit Logs

Audit Logs record every significant action taken in your account β€” who did what, when, and on which wedding.

Use audit logs when you need to trace changes, investigate discrepancies, or verify that staff actions comply with your policies.

To add a new prospect:

The Prospects module lets you track potential clients from first contact through to a signed wedding. Use it as your sales pipeline before a lead becomes a confirmed wedding.

Add a prospect whenever a couple enquires about your services. Move them through statuses (New β†’ Contacted β†’ Qualified β†’ Converted) as the relationship progresses.

  1. 1Go to Prospects from the left sidebar and click "+ New Prospect".
  2. 2Enter the couple's names, email, phone, and estimated wedding date.
  3. 3Optionally add notes about budget range, venue preferences, or how they found you.
  4. 4Click "Save" β€” the prospect appears in your pipeline with status "New".

  • Contacted β€” you have reached out via email, phone, or WhatsApp.
  • Qualified β€” the couple has confirmed interest and discussed requirements.
  • Converted β€” the prospect has been converted into a wedding project. Click "Convert to Wedding" to create the wedding workspace automatically.

When a prospect is ready to become a wedding, click the "Convert" button on their row. UnityVows will create a new wedding pre-filled with the couple's details and link it to the prospect record for audit trail.

To create a quotation:

Quotations let you build itemised cost estimates and send them to prospective couples for approval before they become a confirmed wedding.

Create a quotation when a prospect asks "How much will this cost?" Use component lines to break down pricing by service category.

Client portal settings (per wedding)

Client Portal Settings (per wedding) lets the planner owner decide exactly which planning modules are visible to invited collaborators (couples and family members). Every toggle affects that wedding's client portal in real time.

To purchase credits:

Credits are UnityVows's pay-as-you-go currency. Each credit lets you create one wedding project.

Use credits if you prefer not to subscribe monthly. Buy credits in packs and use them as needed.

  4. 4Credits are added to your balance instantly.

View your full credit history β€” purchases, usage, and any bonus credits β€” in the Credits page. Each transaction shows the date, amount, and which wedding consumed the credit.

Managing notifications:

The Notification Centre collects all alerts across your weddings β€” new RSVPs, overdue tasks, vendor messages, payment reminders, and more.

  1. 1Click the bell icon in the top navigation to open the notification panel.
  2. 2Click any notification to jump directly to the relevant page.
  3. 3Use "Mark all read" to clear the unread badge.

Customise which notifications you receive in Settings β†’ Notifications. Toggle categories on or off: RSVPs, Tasks, Vendor Updates, Payments, and System Alerts.
